Governance Structure

Board of Directors

The governing body responsible for overseeing the organisation's strategic direction, ensuring its financial sustainability, and monitoring its performance.

Executive Committee

Responsible for implementing the decisions of the Board of Directors and overseeing the day-to-day operations of the organisation.

Secretary

Leads the Board of Directors, ensures governance processes are followed, and all necessary documentation is maintained. Serves as Project Director for all projects.

Our Policies

Protects sensitive information and maintains confidentiality of individuals and organisations involved with KARAS Foundation.

Ensures that decisions are made in the best interest of the organisation, without personal or financial gain by any member.

Promotes a culture of inclusivity, respect, and diversity in all aspects of the organisation's work and programs.

Ensures responsible management of finances, including budgeting, accounting, and reporting with regular audits by Registered Chartered Accountants.

Outlines the organisation's governance structure, roles, and responsibilities with transparent decision-making processes.

Governs the management of staff, including recruitment, performance management, benefits, and professional development.

Ensures the secure and effective use of technology, including data protection, cyber security, regular backups, and anti-virus maintenance.

Guides the organisation's partnerships and collaborations with government bodies, private institutions, and other NGOs, ensuring mutually beneficial relationships.

Protects vulnerable individuals, including children and adults, from harm and abuse in all programs and activities conducted by the foundation.

Financial Management

All income, donations, and resources of the Society are applied solely towards charitable educational purposes. No part is distributed as profit to members.

Budgeting

KARAS Foundation prepares annual budgets that outline projected income and expenses for each financial year.

Financial Reporting

The Foundation provides regular financial reports to stakeholders, including the Board of Trustees and donors.

Accounting

Maintains accurate and transparent accounting records, following standard accounting practices.

Internal Controls

Internal controls ensure financial transactions are properly authorized, recorded, and reported.

Auditing

Undergoes regular audits (half-yearly and yearly) by Registered Chartered Accountants to ensure financial integrity and compliance.

Financial Planning

Engages in financial planning to ensure long-term sustainability and alignment with mission and goals.

Administration & Monitoring

Administrative Structure

  • General Body: 11 members, meets annually (April/May)
  • Governing Body: 7 elected members, meets quarterly
  • General Body approves activity reports, audited statements, and budget
  • General Body elects the Governing Body
  • Secretary serves as Project Director for all projects

Monitoring & IT Systems

  • Managing Committee regularly follows up on all programmes
  • Monitoring & evaluation conducted monthly, quarterly, and annually
  • Secretary & Programme Manager monitor all activities at office and field levels
  • Equipped with computers, laser printers, and internet connectivity
  • Regular internal and external backups with anti-virus protection
